FAQ About our Mom & Me retreats...

This is something new to the Ultimate. Many of us have children that love to scrapbook but there are very few venues that we can scrapbook with our kids. While the regular retreat is going on in the Main Lodge (enjoying grownup entertainment and conversations), the moms & kids will be scrapping in a separate lodge, where we will offer kid friendly scrap breaks and movies! Cost is $460 per Mom & Child pair.

Please note: all our regularly scheduled retreats are ADULTS ONLY. (with the exception of non-mobile infants) If you are booked into a regular retreat on the same weekend as a Mom & Me retreat, you will NOT be scrapbooking with the kids. The Mom & Me retreat is located in a separate building. The only mingling of the groups would be in the dining room during meal times, and shopping in the store with adult supervision.

What age do you recommend?

We don't have age restrictions, so its up to you whether your child is up for a weekend of scrapbooking, unfamiliar places, new people and larger groups. They would have to be interested in scrapbooking and have some experience, and for your enjoyment it would be nice if they could work independently much of the time. Between ages 9-13 seems to be optimal. You know your child best.

Please note that in addition to the adult retreat in the main lodge, there are often other groups using different parts of the camp at the same time. Our junior scrappers must be respectful of their spaces and activities at all times.

Do I have to be a Mom? Can I bring my niece, cousin, grandchild, neighbour, etc?

You can bring any child who loves scrapbooking and would enjoy spending the weekend with you! You are responsible for their supervision, behaviour and personal care at all times.

I have more than one kid. What would the price be?

I don't know if my child can scrapbook all day long. Are there opportunities for breaks?

Absolutely! There will be family-oriented movies and activities throughout the weekend. There are additional gathering/lounging areas in the cabin. And depending on the weather and availability, we can enjoy time outdoors in the camp. At the beginning of the weekend we will define the areas of the camp we are permitted to explore, and the areas that are out of bounds.

What's the rooming situation?

All rooms in the cabin have 2 single beds, and 4 sleeping rooms share 2 bathrooms on the same floor.

What's the meal situation?

All meals from Friday dinner to Sunday brunch are included, plus snacks & beverages. Meals are served buffet-style in the dining hall attached to the main retreat. Family scrappers and adult scrappers will mingle at meal times.

Hello Fellow Ultimate Retreat Scrapbookers,

After you have chosen a date, please email me at ultimatescrapbook@gmail.com with your reservation request. Then I will let you know if you have a spot based on the order of emails received. I will send you a registration form at that time.

If you get a spot you will have 2 weeks to get a deposit mailed to me to hold that spot. Deposits are $100 for 3-day retreats and $120 for 4-day retreats. The remaining balance will be due 2 months prior to the actual retreat.

Deposits are non-refundable but are transferable to a future retreat date, and only with at least one month's notice AND if I can fill your sport.

For all of the retreats we have access to the main lodge (32 spots) and for some dates the upper lodge (20 spots). The upper lodge is nice for larger groups but we can put a few smaller groups there as well.

Frequently Asked Questions - Deposits & Payments

Is a deposit required?
Yes, a $100 deposit is required at the time of registration. Your deposit is the ONLY way to guarantee your spot. Even if you are registering a year in advance, your deposit is necessary to hold your spot.

Is my deposit refundable? Deposits are non-refundable. If you are unable to attend you may transfer your spot to another person and they can reimburse you for the deposit amount. Or, if we are able to fill 100% of the spots for that event, you will receive a credit for your deposit which you can apply towards a future event. We do our best to fill every spot, however we offer no guarantees that this is possible.

Why do you need deposits so far in advance? The Ultimate Retreats are in big demand and spaces are very limited. Waiting lists are long. If you are serious about attending an event then a small deposit is not a big deal.

In the past we have experienced people putting their name on the list for multiple events, and then dropping out of circulation. It takes time to track people down and get them to commit to a date and get their payments in on time. $100 is enough of a reminder for most people.

Also, we have had experiences with people dropping out at the last minute, which in turn doesn't give us enough time to fill the spots, nor does it give people on the waiting list adequate notice. Waiting list people will take their names off the list or make other plans, only to be disappointed when they find out that they could have gone afterall. We would like to make as many scrappers happy as possible!

We are everyday scrappers just like you, and this is a hobby that has become a part-time business venture. What began as a favour for friends has grown so much bigger. In order to make every event succesful we must treat it like the business that it has become. And that means putting a hefty deposit down for the facility in advance. Your deposits ensure that our deposit is in full and on time.

We have added the final dates for the 2010 Loon Lake Ultimate Scrapbook Retreat Schedule!

They are:
September 17 -19
October 22-24
November 19-21

Also please note that the April 2010 date of April 15-18 has been changed. There was an overlap in bookings and we cannot arrive until Friday April 16th. The April 2010 retreat is now a normal 3 day - 2 night weekend retreat running April 16-18.

Great News!

There is now space available at some previously sold out retreats in 2009.

The new "Upper Lodge" has been completed, and it has room for up to 12 more people to sleep and scrap. The new lodge is right next door to the existing scrapping space in the main lodge. The Upper Lodge is ideal for 1 or more small groups who'd like a quieter experience. We'll all dine together in the main lodge.

If you're registered for a 2009 date or on a waiting list, you'll be hearing from Heather shortly with all the details.

So WHY do we call it THE ULTIMATE???

First there's the location. Just minutes from ''civilization" yet secluded and serene. Less than an hour's drive from most places in the Lower Mainland.

Then there's the facility, which is new and immaculate. Designed as a corporate venue, the sleeping rooms include separate beds and bathroom with shower. All bed & bath linens are provided.

The thing that people talk about the most? THE FOOD. Fantastic gourmet meals prepared in very generous quantities to our specifications by the in house chef. Prime rib, salmon, eggs benedict, home made soups & wraps, specialty desserts -- you name it, we've had it! Special diets and food restrictions are all taken into account. All meals are included from Friday night snacks to Sunday brunch. Snacks and beverages are available at all times.

The ULTIMATE crop space. Every cropper gets their own 6ft table, and the crop room is open 24/7. We have the building to ourselves and the setting is secure, so you'll be comfortable leaving your supplies out all the time. Lighting is excellent, and there is access to electrical outlets for those who need it. There is a laptop & printer for journaling, and a Cricut for diecutting. Depending on the number of guests we have, at least half of the tables face the movie screen.

Yes, there's a movie screen. There are new DVD releases playing throughout the weekend. Alcholic beverages are permitted (some would say "highly recommended") and the dress code is ultra casual. As in pajamas and slippers. Imagine a giant scrapbooking slumber party!

The Ultimate pampering. Sleep, dine, drink, take a nature walk, enjoy the view or enjoy conversation by the fire place. Book a relaxation massage. Watch a movie. Stay up all night and scrapbook!

There is something really special about these weekends. Whether you get 40 pages done, or 4, you're guaranteed to go home happy, relaxed and well fed!

Christmas Card Classes anyone??

Sandra is offering a Christmas Card Class at both retreats, on the Saturday after brunch in the dining room.

The cost is $12 and includes 4 unique card designs (with envelopes). There are only 10 spots available at each retreat so please register early.

We'll be sure to schedule your massage times so they don't conflict with the class!

Ultimate Retreat October 26-28

Some of the names on the list were registered as "friend of so-and-so" so we don't have every email address. If you did get the email, please make sure your friends got it too!

Final payment deadline is October 12. Please mail or drop off your cheques to Heather (address is on the registration form) or with Sandra at The Memory Workshop.

Good news! There have been some last minute cancellations so there may be spaces available. We'll try to keep up to date on the numbers. Act quickly, as news travels fast!

Thanks to everyone who spent the weekend with us at The Ultimate Retreat last weekend. Judging by the good vibes in the room, everyone was having a great time! Can't wait for the next on in October. And the one after that in November. And 5 more times in '08.

Special dietary needs? We can handle that) We need to think up some crazy bizarre requests for next time, just to test this theory. :)

November Ultimate Retreat Announcement

November 2-4, 2007 @ Loon Lake, Maple Ridge, BC

Email reminders have been sent to everyone on the guest list for November. Your registration form AND $59 deposit are due immediately in order to hold your spot. There is a HUGE waiting list for this event and we cannot guarantee your spot if your deposit is not received by September 19. After the 19th we will begin filling open spots with names from the waiting list.

Due to the limited space and huge popularity of these events, we have added another retreat October 26-28 (the weekend before). You have the option to switch weekends, so please let us know when you are registering which weekend you want. With the extensive waiting list we have, both dates are sure to fill up!

If you were on the list as "friend of ...." then its possible we didn't have your email address, so please get in touch with your friend(s) to make sure they got the email.

There are at least a dozen more of you on the waiting list, and you'll be hearing from Heather shortly. Once it's determined that there are spaces available you'll be notified to send your deposit.

Here's how it works:

September people have until July 21 to register for the September OR October date.

As spaces open up in September, those on the waiting list will be contacted and asked to send their registrations and deposits.

September people who do not send deposits or respond to the email reminders will have their names removed from the list. Please understand that there is overwhelming demand for spots at these events, and this is the fairest way to make space for those who really want to be there.
